    Summary

    Assists customers at the front counter by taking job orders/instructions, processing completed work, and providing guidance or researching questions as necessary.

    Essential Job Functions

    • Greets all walk-in customers
    • Completes work orders for customer work or accepts customer orders and confirms order for accuracy
    • Answers customer questions about service options and pricing, by using samples and suggesting value-add services
    • Logs in all work orders received at the front counter, and distributes to appropriate department

    Summary

    The role of the DFS Expeditor is to handle all administrative work involved with the update/addition of projects and order processing in the Digital Vault DFS system. The duties of this position will include, but not be limited to, assisting the sales and production staff with the items listed below. It is the responsibility of this individual to handle all items in a timely manner, isolate and correct any obstacles that keep this process from running smoothly, and report to their manager any problems/issues that arise.

    Essential Job Functions

    Preparation and the Project Initiation Form

    • Verify that a completed Project Initiation form has been provided by the customer or sales person on all updates/new projects
    • Check to make sure that all files have been provided by production areas for the update/addition of project. Check against the PI form to make sure that plans and/or specs have been scanned.
    • Check to make sure that files provided meet indexing requirements. (Plans are TIFs, Specs are PDFS, etc.)
    • Review customer instructions (PI Form) and files provided by production to ensure that the update/addition can be performed as requested.

    Posting Files for Indexing

    • Locate all files provided by production and post to the “incoming” folder, as outlined in department SOPs.
    • Verify that all files make it into the designated area by checking number of files against original scan location.
    • Notify the indexer via email that the files are posted and ready to index.

    Post-Indexing

    • Review the update to ensure that instructions (PI form) were followed.
    • Apply any permissions to individuals or roles to ensure that the customer can access the project. Log in as customer to verify.
    • Notify the sales person and customer that the update/addition has been completed.

    Monitoring Remote Order Manager

    • Check daily to verify that Remote Order Manager is started and checking for orders.
    • Accept all orders and create work order for production department(s).
    • Confirm that files successfully download to the designated area and are available for the productions department(s).
    • Complete orders as they are delivered to the client(s).

    Customer Orders and Troubleshooting

    • Handle customer requests/orders via phone, fax and/or email.
    • Enter orders into Front Desk.
    • Assist customers with navigation of Digital Vault DFS and assist them with ordering, electronic downloads, instant prints, on-screen takeoffs and any other general requests/questions.

    Qualifications

    • Must maintain a courteous, “can-do” attitude with internal and external customers
    • A Bachelor’s degree from a four year college or university preferred; or 5 years experience, and/or training; or equivalent combination of education and experience
